Privacy Notice

How EHDS Monitor handles information provided through subscriptions, publication suggestions and ordinary use of this website.

Only the information needed to manage subscriptions and review publication suggestions is requested.

No commercial mailing

Contact details are not sold, rented or added to unrelated marketing lists.

You may unsubscribe at any time or ask to access, correct or delete information you provided.

Who is responsible

EHDS Monitor is an independent, non-commercial resource founded and edited by Dr Andrea Martani in Switzerland. For questions about this notice or personal information handled through the website, email martani.andrea@gmail.com.

EHDS Monitor does not represent the University of Zurich, the Swiss National Science Foundation or any EU institution. Those organisations are not responsible for the processing described here.


Information collected and why

Newsletter subscriptions

If you subscribe, your email address and subscription status are processed through WordPress.com so that EHDS Monitor can send occasional, manually selected updates—expected to be approximately monthly when there is useful news about additions, corrections or improvements to the library. Subscription is voluntary. The email address is used for this purpose only and is kept until you unsubscribe or ask for its removal.

Every newsletter includes an unsubscribe option. Where applicable, the legal basis for sending it is your consent, which you may withdraw at any time without affecting earlier processing.

Publication suggestions

The suggestion form asks for a publication title and DOI or permanent link. You may also provide a short note and an email address for follow-up, but those fields are optional. The information is used only to assess the suggested publication and, if necessary, contact you about it. Providing an email address does not subscribe you to the newsletter.

Form responses are stored by WordPress.com and emailed to the editor. If an optional contact address is included, it may therefore also appear in the editor’s Google-hosted email account. Personal details are retained only as long as reasonably needed for editorial review and follow-up. Bibliographic information may be kept as part of the library’s editorial record.

Website operation and cookies

The website is hosted on WordPress.com. Automattic, the company operating WordPress.com, may process information that browsers and devices ordinarily provide, such as IP address, browser and device information, referring page, access time, approximate location and interactions with the site. It also uses cookies and similar technologies to operate, secure and understand use of its services. EHDS Monitor does not currently use separate advertising tools, third-party analytics or marketing trackers.

Service providers and international processing

Automattic provides the website, forms and subscription infrastructure. Google provides the editor’s email service. These providers process information under their own terms and privacy arrangements and may process data in countries outside Switzerland or the European Economic Area. Appropriate safeguards required by applicable law are used where relevant.

Retention and legal bases

EHDS Monitor keeps personal information only for as long as needed for the purpose described above or to meet legal obligations. Where the GDPR applies, newsletter processing is based on consent; editorial review of suggestions and the safe operation of the website are based on legitimate interests in maintaining an accurate, secure, non-commercial research resource. Where Swiss data-protection law applies, information is processed in accordance with its applicable requirements.

Your choices and rights

Depending on the law that applies to you, you may ask whether personal information about you is held and request access, correction or deletion. You may also withdraw consent and, where applicable, request restriction or object to processing. To make a request, email martani.andrea@gmail.com. Reasonable steps may be taken to verify your identity before acting on a request.

You may also contact the competent data-protection authority, including the Swiss Federal Data Protection and Information Commissioner or, if applicable, the supervisory authority in your EEA country.
